Our client, a national title company, is seeking an experienced Escrow Assistant I to support escrow operations throughout the real estate transaction process. The ideal candidate will have 1–3 years of escrow experience, strong organizational skills, and the ability to manage multiple files while ensuring accuracy and exceptional customer service.
Key Responsibilities
Pre-Closing Duties
- Order payoff statements and final utility information; verify payoff amounts against title commitments.
- Manage all file requirements before closing, including resolving liens, judgments, bankruptcy matters, and other title-related conditions.
- Obtain and review current and historical property tax information to ensure taxes have not been paid or overlooked.
- Order and follow up on HOA documents, including estoppel letters, bylaws, financial statements, and irrigation information.
- Collect and verify commission details for all real estate agents involved in the transaction.
- Coordinate file disbursements and confirm the receipt and accuracy of incoming and outgoing wire transfers.
- Prepare Powers of Attorney and Quitclaim Deeds when required.
- Maintain ongoing communication with the Escrow Officer regarding file status, deadlines, and outstanding requirements.
- Assist clients and answer phone inquiries when the Escrow Officer is unavailable.
- Support team members as needed and provide receptionist coverage when required.
Closing Duties
- Assist with entering lender-provided figures into escrow files.
- Prepare and print closing documents for signing appointments.
- Print and process checks required for closing.
- Assist with transmitting closing figures and documentation to lenders, real estate agents, and other parties.
Post-Closing Duties
- Audit and finalize closed files, including preparation of loan packages for shipping and recording.
- Follow up on outstanding escrow funds, recording confirmations, and post-closing requirements.
- Prepare completed files for scanning, imaging, and archival storage in accordance with company procedures.
