Overview:
We are seeking an experienced Legal Assistant to support attorneys with administrative and secretarial duties in a dynamic and fast-paced environment. This role requires a proactive, detail-oriented professional with exceptional organizational skills and the ability to manage multiple priorities effectively.
Key Responsibilities:
- Provide comprehensive administrative and secretarial support to attorneys.
- Draft, edit, and proofread legal documents and correspondence, ensuring accuracy and completeness.
- Manage client billing processes, including reviewing and organizing invoices.
- Enter and review attorney timesheets with accuracy and timeliness.
- Maintain and monitor attorneys' calendars, including scheduling meetings and deadlines.
- Coordinate travel arrangements and itineraries.
- Organize and maintain electronic and physical client files for efficiency and accessibility.
- Prepare engagement letters, conflict waivers, and initiate conflict of interest checks.
- Assist with preparing client audit responses and ensuring compliance with deadlines.
- Process attorney expense reports and reimbursement requests.
- Support attorneys with Continuing Legal Education (CLE) compliance and business development activities.
- Collaborate with internal teams and clients to ensure seamless communication and workflow.
Requirements:
- Experience: Minimum 3 years of legal assistant experience in a law firm setting.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat; experience with document management systems (NetDocuments preferred).
- Communication: Strong verbal and written communication skills.
- Attention to Detail: High level of accuracy in managing documents, billing, and calendaring.
- Organizational Skills: Ability to handle competing priorities in a fast-paced environment.
- Teamwork: Strong interpersonal skills and professionalism, with the ability to work collaboratively.
- Flexibility: Willingness to work overtime as needed.
