Overview:

We are seeking an experienced Legal Assistant to support attorneys with administrative and secretarial duties in a dynamic and fast-paced environment. This role requires a proactive, detail-oriented professional with exceptional organizational skills and the ability to manage multiple priorities effectively.

Key Responsibilities:

  • Provide comprehensive administrative and secretarial support to attorneys.
  • Draft, edit, and proofread legal documents and correspondence, ensuring accuracy and completeness.
  • Manage client billing processes, including reviewing and organizing invoices.
  • Enter and review attorney timesheets with accuracy and timeliness.
  • Maintain and monitor attorneys' calendars, including scheduling meetings and deadlines.
  • Coordinate travel arrangements and itineraries.
  • Organize and maintain electronic and physical client files for efficiency and accessibility.
  • Prepare engagement letters, conflict waivers, and initiate conflict of interest checks.
  • Assist with preparing client audit responses and ensuring compliance with deadlines.
  • Process attorney expense reports and reimbursement requests.
  • Support attorneys with Continuing Legal Education (CLE) compliance and business development activities.
  • Collaborate with internal teams and clients to ensure seamless communication and workflow.

Requirements:

  • Experience: Minimum 3 years of legal assistant experience in a law firm setting.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat; experience with document management systems (NetDocuments preferred).
  • Communication: Strong verbal and written communication skills.
  • Attention to Detail: High level of accuracy in managing documents, billing, and calendaring.
  • Organizational Skills: Ability to handle competing priorities in a fast-paced environment.
  • Teamwork: Strong interpersonal skills and professionalism, with the ability to work collaboratively.
  • Flexibility: Willingness to work overtime as needed.
