1. Provides a variety of direct clerical and administrative support services for assigned AUSAs. Typical duties include the following:
scheduling appointments, meetings, engagements, and conferences;
keeping calendars on behalf of assigned AUSAs;
receiving and reading incoming correspondence and electronic notices and forwarding each item to the appropriate AUSA, supervisor, or support staff;
receiving telephone calls and visitors and directing them to the appropriate AUSA or support personnel; personally taking care of routine matters and questions relating to office functions, procedures, and practices; maintaining a variety of legal and general office files, both paper and electronic files; reading outgoing correspondence and pleadings for procedural and grammatical accuracy, format, and presentation, and bringing errors to the attention of the author; searching both paper and electronic files for material used in a variety of recurring reports and assembling and inputting file data or confidential data from staff into the proper format based on purpose and nature of the report; making travel arrangements and maintaining contact while AUSA is in travel status; and preparing invoices and other routine documents on behalf of assigned AUSAs for presentation to the Administrative Division.
2. Provides a variety of legal support services to attorneys. Typical assignments include:
preparing a variety of legal documents that are relatively routine or straightforward in content and format, such as subpoenas, notices of appearance or to withdraw, and certificates of service;
drafting and assembling a variety of more complex legal documents (i.e. indictments, complaints, prosecution memoranda, motions, answers, and other pleadings and responses), using the proper format and in accordance with applicable rules and office policies;
Obtaining needed information from paper and electronic files or general reference sources, and submitting that information to the requesting AUSA or supervisor;
generating and completing formatting of tables of contents and indices to briefs in accordance with applicable rules;modifying previously established form letters that do not require legal interpretations, but do require a knowledge of legal procedures and specialized terminology, such as indictments, information, transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants; and
based on specific requests and instructions, using reference sources and legal research tools to gather information to assist AUSAs in performing their duties.
3. Using a variety of office software, provides automated litigation assistance to attorneys by preparing charts and other specialized materials relating to trial preparation and presentations.
4. Inputs and dockets case data into an automated case management system.
5. Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
The Legal Assistant shall possess the knowledge, skills, and abilities to perform the major duties/requirements as outlined above. In addition, the knowledge, skills, and abilities outlined below are required.
Proficient in Microsoft Office software programs (i.e., Word, PowerPoint, Excel, and Outlook).
Ability to use and understand directories, office personnel lists, and other references to provide a variety of information to AUSAs, senior management staff, client agencies, law enforcement partners, court staff, etc. and refer questions to appropriate staff when required.
Skill in interacting with people in a professional, courteous, and tactful manner.
Skill in operating a personal computer to produce a wide range of documents.
Skill in operating automated document processing equipment such as photocopiers, printers, fax machines, scanners, binding machines, and label makers.
High school diploma required with at least one year experience in legal support.
